Recurring zoom meeting invites for Groups

Recuring zoom meeting links in group files are set up using the More Actions>Create Zoom Invite option. This will add the zoom meeting link to the group file Meeting URL field, and to any Group File Events that get created under the file. The zoom meeting will be for the primary presenter allocated to the group file.




 

On creation of these links, it will also add any non-primary presenters on the group file as Alternate Hosts on the zoom meetings. Those with the Role of Intake will not be included as an Alternate Host. This meeting link will populate onto the group events.

 
 
The recurring zoom meetings are set up as weekly meetings using the Group File Weekday, Start Date/Time and End Date, and will rely on the accuracy of these dates and times. 
 
The weekday - to set the meeting day
The start date and time - to set the first group event date and start time
The end date - to set the end of the recurring meetings, or if it is only one group session, then to set the end date and time of that one meeting.
The duration of the meetings is set using the CRM details attached to the product of the particular group that is running.
 
 

If the group is cancelled or the presenters are changed, the zoom meeting url and bookings will need to be deleted using the More Actions>Delete Zoom Invite option on the group file. Here you will asked to confirm this deletion of all zoom meeting links both in CRM and in Zoom. If the service event is rescheduled with a new worker you can then select the Create Zoom Invite option to reset this meeting for the new resource.





Note 1: If the meeting URL has been manually deleted from the service event field in CRM this will not delete from the Primary Workers Zoom Account, this will need to be done manually.
Note 2: If a group file or event is rescheduled and you wish to keep the existing zoom meeting link, you will need to manually update all the recurring meetings for the meeting via zoom.
