How to create a Pseudonym Client
If a client does not wish to disclose any personal details (eg, real name, real address, real contact coordinates, etc) to Interrelate, a pseudonym can be created in CRM and then associated with the client so the latter can still have access to services Interrelate provides.
The process of associating a pseudonym to a client only applies to an individual that is an actual client of the service.
To ensure an anonymous client is uniquely identified in CRM, the client will be allocated a name following a convention consisting of the word Client followed by the name of the centre location as well as a numbered count (eg, Client Newcastle 12, Client Dubbo 10, etc).
First navigate to the Client Services area.
1. Select Contacts in the left navigation bar to display a list of active contacts in the main page.
2. In the Command bar, select New, as shown below:
The Contact Field will display.
3. Scroll down to the Contact Information Box on the Summary Page to set up a Pseudonym client, enter the details below;
> Enter Site field of your Local office eg Lismore
> Is Name Pseudonym field click Tick Box - this will auto populate Client in the Full Name field and default the address to your local office address.
> Enter a Pseudonym Nickname as reference if you require
> Mark Initial Consent to Store Personal Details No
4. Continue to enter the appropriate information on the contact form.
> Date of Birth should be estimated using the 1st of January with an appropriate year. Tick the box is Birth Date an Estimate under the Date of Birth Field.
> Please enter a telephone number if provided.
> If a Disability is known please select as appropriate, otherwise select Not Stated
> Enter other intake information related to the client.
Staff should use their best efforts to try to get as many details as possible as required on the Client Establishment Form. These should all be entered into CRM.
5. Click Save, this will auto populate the Client Contact Name with the site and number count.
6. Set up the Service File and book appointments as normal.
7. If the client wishes to continue with our service, provide the client with their Legacy ID from the Contact Profile.
They will need this number when they make future appointments.
If the client is a one off, please close the service file after completing the event.
Troubleshooting:
If a client calls and cannot remember their Individual ID, the following steps should be taken to maintain the history of the client.
Ask who their Practitioner was.
Ask when they last attended the centre.
Use the search menu to see if you can isolate which Unknown client it was.
Talk with the Practitioner to see if they know which Unknown client it was. The case load that comes up on the Practitioner’s home page, may be helpful, especially if they only have one or two Unknown clients.
If the Unknown client’s record cannot be identified, a new Unknown client Individual will need to be set up following the process above.
