How to Create a Funder Policy

 

 

Policies are created to allow service files and service events to be set up for clients who are funded externally. Using policy details on service files and service events allow us to invoice the external funder while still having the service file and event information linked to the client. 

 

 

1. In the left hand navigation panel for Client Services, select Policies then click on New on the top menu. A blank policy screen will open. 

 

 

 

2. Fill in the mandatory fields on the General tab and add the Contact details for the client who the policy is for and save the policy. 

 

When Saved--The name of the Policy and Policy Number is auto populated. 

 

The program will determine the policy usage i.e Family and Relationship Services (counselling), External Supervision, Employee Assistance Program.  

 

 

 

3. Open the Policy Product tab and add the product type you required for the service events by clicking on the plus option on the menu bar.

 

4.Search for the product, add the session duration and the number of sessions that have been approved by the funder. Save and Close.

5. Next create the service file by selecting the plus option on the service file menu. Policy details will already be displayed. The only details needed are Primary participant and Primary Worker. Save and Close.

6. Activate the policy by clicking ACTIVATE in the menu bar, the status reason changes to “Active” (from “Draft”).

 

The service file is now available to be accessed directly from the policy or via the client file.

The policy service events are created in the Open state and will need to be easy booked into the required date.
