How to use the Important Note Alert and add important notes

The Important Note(s) Alert, Important Notes 1, and Important Notes 2 are three fields that have been added to the Communication tab to visually alert a user of the need to refer to important notes pertaining to a client.

 

The following outlines some information about - and the intended usage for - the Important Note(s) Alert, Important Note 1 and Important Note 2 fields:

  • Once activated, the Important Note(s) Alert icon will be displayed on the Summary tab of a client’s record and can coexist independently alongside other alerts (eg, the Safety Concern alert).
  • Up to 50 characters can be entered in the Important Note 1 and Important Note 2 fields and the text entered should be summary in nature (eg, “No further appointments to be scheduled until approved by PL”, “Please exercise caution as client was verbally abusive to personnel”, etc).
  • If further details/additional information is required, then a general note should also be added in the Timeline section of the Communication tab for the relevant client.
  • The Important Note Alert is to be unselected/deactivated if it is no longer relevant/useful for a client.
  • The change history for the Important Note Alert, Important Note 1 and Important Note 2 fields can be tracked in the Audit History of the client’s records.
 
This following outline the steps to turn on the alert for important note(s) and to enter important note(s):
 
To turn on the alert for important note(s) 
1. Select then edit the record of a contact against which important note(s) need to be entered. 
 
2. In the Communication tab, select the Important Note Alert? (step 1 below) and then select OK (step 2 below) to confirm the change, as shown below:
 
 
To enter important note(s):
1. After ensuring that Important Note Alert? has been checked, type any relevant text (up to 50 characters max) in the Important Note 1 and Important Note 2 fields (see step 1 below) and then select OK (see step 2 below) to confirm the changes made to each field, as shown below: 
 
2. In the Command Bar, select Save to save the client’s record, as shown below: 
 
3. Going forward and until the Important Note Alert? Is unselected, IMPORTANT NOTE(S) ALERT will be displayed in the Summary tab whenever the client’s record is accessed, as shown below: 
 
This notification will also appear in the clients Service File 
 
4.  Save and close when completed.
