How to create and send an invoice from a Service Event

An invoice will only generate after the Service Event Attendees tab has been updated to Show, the Participant is set to ‘Billable’ and the Service Event has a Total Amount greater than $0.

 

1. Navigate to the Scheduled Event

2. Ensure Attendance is marked for the Event. Save

3.  After the attendance has been marked, click on the Invoice option on the top menu bar.

 

4. An invoice pop-up screen will show and will give you 2 options: 

  •  If there is no adjustment to be made on the price, double check the amount for the/each 
    participant and click ‘Create’. 
  •  If there is an adjustment to be made on the price, edit the amount/s for the/each
    participant, tick the ‘Apply Adjustment’ tick box and then select an ‘Adjustment Code’.
    Click ‘Create
     

Concession – if a client produces a concession card during the service event that has not 
been added to their file
Fee Waiver – if the client has an approved fee waiver, and the price has been manually 
adjusted on their service event name
FCR/FDR Time Adjustment – adjust the total price if the session did not go for as long, or went 
for longer, as scheduled
Split Fees – if only part of the invoice is getting paid in this session. Adjust the price to the 
amount to be paid

 

After clicking ‘Create’, a Draft invoice will be generated and can be found in the ‘Invoices’ section at the bottom left of the Scheduled Event.  

The ‘Is Invoiced’ field in the ‘Billing’ section on the right will change to Yes. 

5. Click on the Invoice Name to open the invoice in the current window, or right click on the link and select ‘Open in New Tab’. 

6. Choose Confirm Invoice  to confirm all is correct

7.   Choose from 3 options for sending the email as required:

  • Edit invoice email - this will open the email in a new tab so wording can be updated/changed if required

  • Send invoice - This will send the invoice automatically

  • Don't send invoice - Invoice won't be sent to client

8. Press SEND from top right menu

9. After email is sent you will return to the Invoice.  Use the back arrow in the top left corner to return to the Event.  

10. In the Invoice section of the Event you will now see the invoice status is “Billed” which means it has been confirmed and will appear on the “Outstanding Invoices” list.

You are now finished creating and sending this Event Invoice.
